What Makes a Good Set of Construction Documents

 A good set of construction documents is one of the most valuable things a builder can receive. They reduce assumptions, prevent change orders, and create a shared language between the design team and the field. After years of building from drawings produced by architects across New England, I've developed a clear sense of what separates a document set that builds well from one that creates friction throughout a project.

This isn't a critique of the profession — most of the architects we work with produce excellent drawings. It's a field perspective: what we look for when we pick up a set, what slows us down, and what makes a project run smoothly from the first bid invitation to the final punch list.

1. Completeness Matters More Than Perfection

The best document sets aren't necessarily the thickest. What they share is a clear answer to the question every subcontractor asks when they pick up a set: What, exactly, am I being asked to build — and out of what?

That means:

●      A clearly defined scope boundary — what's in contract, what's by owner, what's by others

●      Consistent notation — if a drawing references a spec section, that spec section exists

●      Finish schedules that are filled in, not left as placeholders for later

We'd rather have complete drawings that address 95% of the work cleanly than a comprehensive set where the answers are buried in inconsistent notation or unresolved between sheets.

2. The Details That Save Time — and Money

Plans communicate layout. Sections and details communicate how things are actually built. A set of drawings with excellent plans but thin details pushes decisions into the field — and field decisions during construction are expensive.

The details we find most valuable:

●      Window and door head, sill, and jamb conditions — especially at non-standard wall assemblies or historic profiles

●      Transition conditions between materials (floors meeting thresholds, exterior cladding terminations at grade or penetrations)

●      Stair sections with tread, riser, nosing, and baluster specifications called out

●      Millwork elevations with enough information for a shop to draw from — panel reveal dimensions, hardware locations, material designations

We're not asking for construction-level shop drawings in the architectural set. We're asking for enough information that a subcontractor can price and plan their work without an RFI.

3. Specifications Are Not Optional

This is the area where I see the biggest variation between document sets. A full Division 01–16 specification book is ideal on larger projects. But even on smaller residential work, a concise written specification — or well-annotated drawings — makes a meaningful difference at bid time and throughout construction.

What we specifically look for:

●      Product names, manufacturers, and model numbers for major components (windows, entry doors, plumbing fixtures, mechanical equipment)

●      Finish specifications: sheen level, color system (Benjamin Moore, Sherwin-Williams, etc.), number of coats, and any priming requirements

●      Performance requirements for systems where the contractor selects the product — "R-49 minimum in the roof assembly" is more useful than "fiberglass batt insulation"

When this information isn't in the documents, it gets resolved through RFIs and addenda — adding time to the bid process and potential for scope misalignment between what's priced and what's expected.
